It will now be easier to create new users and assign them different roles in your clinic. Until now, you had to create the access rights for each of your employees or hirers yourself. If from time to time you need to create new users in your clinic.

This new feature allows you to create groups and assign access rights to users in one simple process - without having to adjust each user manually.

What is User management?

User management allows you to create roles that group access rights for different types of users. Instead of having to give each user individual rights, you can create a role (e.g. “Secretary”, “Therapist“ or “Administrator”) and assign it to multiple users at once. This means you can quickly create a new user and assign them the right role and access rights without extra clicks.

How does it work?

  1. Activate Employees or Tenants. Under the Apps menu, we have activated the Employees and/or Tenants app. During activation, the system will suggest some default roles that you can activate, such as “Administrator” or “Secretary”. For these roles, we have already set the access rights.

Note: You will always be able to manually change or disable these roles. They are suggested to help you get started and save you manual work

2. Create or review your groups. Once you have activated the app, under ‘Settings’ you will now see the ‘User management’ menu:

Any default groups you have selected when activating the app will be visible under ‘Groups’. You will also be able to create your own groups if you prefer. Then click on 'Users'.

3. Create your users. You can create a new user by clicking ‘Create new user’ and assign them the group(s) that match their role in your journal system. You fill in their contact details and select their profession and possible group. You can also set up individual access to the different calendars here.

Your users will then be able to log in and use the system and access the system with the access rights you have granted them.

Can I change a user's group later?

Yes, you can change a user's group at any time. This means that you can customize rights and access when employees get new responsibilities or change groups. When you change a user's group, their rights are automatically updated according to the new role.

What happens if a user does not have an assigned group?

If a user does not have a group assigned, they will have limited rights or they will not have access to the features needed to work effectively. We recommend that you always assign a group to your users to ensure they have the right access rights.

Is there a limit to the number of groups I can create?

No, there is no limit to the number of groups you can create. You can create as many groups as you need to ensure that all your employees have the necessary access rights.
