What is "Contacts and Payers"?
The "Contacts and Payers" app allows you to create contacts and other payers in EasyPractice. Another payer can be anyone from a parent, sibling, or relative to an insurance company, etc., allowing them to pay on behalf of the client. To activate it, go to "Apps" in your account and click "Activate" next to "Contacts and Payers." The activation costs 39 kr. per month. This help page, along with a video guide at the bottom, will get you started with using the app.
How does the "Contacts and Payers" app work?
If you have activated the app and go to "Settings" -> "Contacts and Payers," you will see the following page:
In the example above, we have already created some sample contacts and payers. If you click on + Create Contact, you will be asked which contact type you want to create: a person or a business:
If you choose to create a business, a range of fields will be displayed for you to fill out:
After selecting the payer type, you can add all necessary information and complete the creation. You can also change the payer type choice at this step. Afterward, you can simply select the payer from the list and send them the second invoice.
These fields will then be linked to the contact. Relevant fields will be automatically filled if the contact, for example, is set to pay an invoice for a client. This will be further explained in the following sections.
Create an Insurance Company as a Contact
If one or more clients often have their treatments fully or partially paid by an insurance company, it might be a good idea to create the insurance company as a contact. As shown in the screenshot above, you can fill out all relevant information about the insurance company. For example, if you fill out the EAN number field, this field will automatically be filled if you choose to send an invoice to that specific insurance company.
How Does It Work in Practice?
Once you have created the insurance company, you can go into the client's profile and add the insurance company under the "Contacts and Payers" menu. Here, you can click + Create Contact:
You will then have the option to select one of the contacts you have created from a dropdown menu. You will also be able to specify the support the contact usually pays for the client. You can also choose whether the contact should receive a copy of the agreement confirmation via email/SMS:
Click "Save," and the contact will be linked to the client's profile. Go to the section "Create and send invoice to contact/payer" to see how an invoice is created and split by linking to another payer.
Create a Person as a Contact
When creating a person as a contact, the same principles as described above apply. It may be relevant to create a person as a payer/contact, for example, if you have a parent paying for their child who is your client.
Create an Invoice with Another Contact/Payer
Go to the "Invoices" menu and select "Create new invoice." Here, choose the desired client and service. If a contact is to be added as a payer, select this in the "Contribution" field:
Here you will be able to choose from the contacts linked to the client's profile. When the contact is selected, the invoice will be updated with the basic data you have filled out for the contact. You can choose whether the client's information should appear on the invoice and adjust other individual data on the invoice.
The fixed amount or percentage linked to the contact will automatically be added to the invoice line for the service:
Approve and Send Invoice to Contact/Other Payer
When you have checked that everything looks correct, select "Approve" and confirm:
The invoice will now be automatically split into two.
One invoice will include the contact's partial payment, and the other will include the client's partial payment:
If it is insurance, and you have saved the EAN number in the contact's basic information, you can simply click "More" -> "Send with EAN." The fields for EAN submission will be automatically filled, and you only need to confirm the submission.
The client's partial payment can then be sent to the client in the usual way.
